Reimagine Documentation with Bluebeam

Bluebeam Revu for the Accessibility Pro

We chose to sponsor the Accessibility Professionals Association (APA) Annual Conference not just because it's right here in our neighborhood in Austin, Texas :) but because we believe that Bluebeam Revu offers an amazing way for folks in this profession to work smarter and faster.

We'll walk you through the hows and whys in just a moment, but first let's look at some of the pain points and inefficiencies a Registered Accessibility Specialist might encounter on any given project.

Plan Reviews

This might look like the start of a typical plan review...

Blueprint rolls

but wouldn't you rather...

 Revu file access

Paper-based reviews can be time consuming and expensive.  Comments and redlines are made one at a time.  Paper sets have to be delivered or mailed back to the client or state agency.  Revisions needed?  Repeat the process all over again.

Professional Digital PDF Markups - Just a few clicks PDF Markups

Bluebeam Revu includes industry-standard markup tools, such as clouds and callouts, to redline the drawings and document code violations. Plan reviewers also find Bluebeam's copy/paste tool to be extremely useful. This feature allows users to copy the same markups from floor to floor on high-rise buildings, thereby reducing repetitive markups.

Save commonly used markups in Revu's exclusive Tool Chest, where they are saved across sessions of the program and reapplied with just one click.

"Using Bluebeam's markup tools to electronically redline drawings provided us with a better, more visual way to explain code requirements to architects designing in our City."
-Anthony Han, City of Plano Plan Review Services Supervisor

Plan reviewers can also leverage Bluebeam's Stamp Revu Stamp Icon feature to paste code notations onto project drawings to more clearly explain violations. You can even use the editor to create custom stamps.

Bluebeam Studio - All are welcome Bluebeam Studio

Bluebeam Studio Sessions

What is Studio?  Studio is Bluebeam's cloud based collaboration tool, allowing you to host online sessions with your document sets for real-time, concurrent markup and review.  Studio has helped other clients speed up project communication by 60%.  Every edition of Revu (Standard, CAD, and Extreme) comes with Studio free. There's no separate software to install, it all runs within Revu.

The wonderful thing about Studio is that everyone on the project team can access your documents from the cloud, and they don't even need to own Bluebeam software to do so! They can join your existing Studio Sessions or Projects using Bluebeam's free PDF viewer (Vu) and have full markup/collaboration capabilities absolutely free.

"The combination of Revu and Studio helped HKS significantly improve the clarity and speed of project communication and reduce our printing and shipping costs. We have already begun using Revu on other projects, and our clients are amazed at how quickly we can document items and send updates."
-John Niziolek, HKS Sr. Vice President and Associate Principal

For more information on Studio, see our tutorial here.

Site Inspections

 Accessibility site inspection

As the construction project nears completion, the clock starts ticking to complete site inspections, reports, and repairs.  In Texas, the inspection is scheduled within 30 days of project completion, repairs are due 90 days after the final report, and the Texas Dept. of Licenses and Regulations (TDLR) will be looking to follow up on all corrections in 180 days.  In this phase, good communication is imperative to ensure any violations are identified in a timely manner, thereby avoiding costly re-works later down the line.  Don't let paper slow you down at the finish line!

Revu for Tablets or iPads - The PDF Swiss Army Knife  Revu iPad logo

Revu IPad Sync Revu IPad Markup

What if instead of lugging your checklists and blueprints out to a job site you could simply carry your tablet?  Enter Revu for iPad (available on the App store).  The desktop version of Revu is also compatible with most tablets running Windows.  Revu lets you work without limits, whether you're at the office or in the field.  Sync files and entire project folders, and once they're done you can work on your PDFs wherever you go, regardless of Internet access.

Capture - Don't rely on 1000 words Revu Capture icon

Embedding photos, and even videos, on the fly is simple with Revu's capture markup tool.  Create a call out to note a code violation, then capture a photo of it on the spot.  Best of all, captured photos are displayed in your PDF report summary for clear visibility to the built conditions.

The Markups List - Instant reporting Revu Markups List

That brings us to the Markups List.  When it's time to prepare the inspection report, leverage the power of Revu's built-in markup and annotation tracking to create a PDF summary report with 1 click.  All comments are hyperlinked back to the document for traceability.

You can also assign a custom status (pending, in review, past due) to any individual markup or group of markups to clearly track when repairs are being made.  You'll be feeling like a project superhero in no time!

Bluebeam Revu – Pay Less and Get More from the AEC Industry Standard in PDF

Since the company’s founding in 1997, Bluebeam has set out with the goal to make simple and smart solutions for PDF documents.  Now, almost 20 years later, it’s clear that their flagship product Bluebeam Revu has become the industry standard PDF software for architects, engineers, and construction professionals.

And you don’t have to take our word for it!  Out of the top 50 US and international firms by revenue (as reported by Engineering News-Record), Bluebeam Revu has significant traction with industry leaders.

 Revu Industry Traction

While we’re at it, we should also point out that a lot of these firms have great things to say about Revu.

Ok, so it’s pretty clear that Bluebeam Revu is a winner for the large AEC customers.  But small and medium enterprises, as well as government agencies, don’t always have a big IT budget.  And in today’s economy we’re all asked to do more with less.  So how does Bluebeam Revu stack up to the other big name in PDF?  And the competition also offers a subscription model, so what’s the breakdown over several years?  Well, we’ve crunched the numbers so you don’t have to!

Using today’s prices and projecting out 5 years, here’s how Bluebeam Revu Standard stacks up to Adobe® Acrobat® Standard DC.  We’ve analyzed both the perpetual licensing for each product and Bluebeam’s perpetual license with maintenance to make a fair comparison to Adobe’s subscription service (both plans offer free upgrades).

Estimated 5 Year Costs of Bluebeam Revu® Standard vs Adobe® Acrobat® Standard DC**

Revu Standard Perpetual

Acrobat DC Perpetual

Revu Standard with Maintenance

Acrobat DC Annual Subscription

Acrobat DC Monthly Subscription

Revu Standard prices from as of Dec 2015

Adobe Acrobat DC Desktop price from as of Dec 2015

Adobe Acrobat DC subscription list prices from as of Dec 2015

**Assumes fixed prices for both software packages over the 5 year period**

As you can see, Bluebeam Revu wins over Acrobat Standard with perpetual license pricing.  With an Adobe subscription, you’ll pay less in the 1st year, but that quickly changes over time.  At the end of 5 years, you’ll have actually paid for almost 2 Revu Standard licenses by making annual payments and over 3x the price of Revu if you pay monthly!  That would not be considered a wise investment in our minds.

Finally, when in history has it been possible to buy the better of 2 options for less money and get more features?  It can be difficult to believe, but it’s true!  With Revu, you’re paying less and getting more.  Take a look at this feature comparison chart and see what we mean.

Top 10 Advantages of using Bluebeam Revu over Adobe Acrobat

There's a multitude of reasons to switch to Bluebeam Revu from Adobe Acrobat, ranging from increased functionality, ease of use, and cost savings. However, for those who aren't already familiar with Bluebeam, all of the information out there on the internet can be a bit overwhelming. To help make things easier for you, we've put together a list of the top 10 reasons to use Bluebeam Revu instead of Adobe Acrobat. Unless otherwise noted, these features can be found in all 3 versions of Revu (Standard, CAD, eXtreme). Let's start the countdown!

1. Customizable Interface and Profiles

Revu comes with a variety of different default profiles which will optimize your interface for different workflows. You aren't limited to just these profiles though; the entire interface is customizable. Display the tools you actually use, hide the ones you don't care about, and set up your toolbars exactly the way you like them. Once you've gotten everything set up to your liking, you can save these settings as a new custom profile. If you'd like to share these profiles with other users, you can easily export them for emailing or saving to a team network drive. For other users to import your profile, it's as simple as just double clicking on the file.

2. Tool Chest

Creating and customizing markups in Revu is extremely easy, but you don't want to have to keep re-creating the same markups again and again. This is where the Tool Chest shines, allowing you to create custom toolsets where you can save those markup tools for future use. Just like profiles, tool sets can be exported and shared with other users. This not only cuts down on wasted time from various team members recreating markups, but it also helps tremendously with standardization. You can create color-coded markups for specific subjects or workflows (blue for electrical notes, green for plumbing, etc.), for different teams, or whatever makes sense for your uses.

3. Markups List

As you're making notes on a document, the markups list provides an easy way to keep track of all of your markups in an interactive spreadsheet-style interface that you can sort and filter. Like the rest of Revu, you can customize the columns in the markups list however you prefer. In addition to simply toggling certain columns on or off, you can create custom columns with drop-down options or formula calculations. You can then use these to assign statuses, set material types, perform takeoffs, and more.

4. Import Comments

Let's say that you've emailed a drawing to multiple people, they've added their markups and then sent their copies back to you. If you'd like to import all of those markups from the separate PDFs onto your master copy, "import comments" allows you to do so with a few clicks. You will never have to waste any more time tracing or recreating other peoples' markups, you can simply import them right onto your own drawing. You can find the import comments tool along the top of your markups list after you've expanded it.

5. Compare Documents

When you are working with multiple versions of drawings, it can sometimes be difficult to determine exactly what has changed between revisions. Having to visually scan between drawings to find differences is not only time consuming, but also leaves plenty of room for human error.

Bluebeam offers two different methods of document comparison to solve this problem; firstly, you can "overlay documents", which produces a light table effect with color coded revisions stacked on top of one another. Also, there is "compare documents", which automatically compares drawings pixel-by-pixel and adds clouds around all of the differences. Either of these methods will allow you to find the differences between drawings far more quickly and accurately.

6. Visual Search

The concept of searching within PDFs is not a new one, but with Revu you can not only search for text, you can also search for symbols in your drawing. It will even catch these symbols if they are rotated, a different color, or have lines passing over them. Once you've generated your search results, you can highlight them, hyperlink them, count them, and much more. There are many different applications for this, such as quickly hyperlinking all of your details or performing quantity takeoffs.

7. AutoMark

If your document doesn't have page labels properly set up, quickly navigating to the correct page you need can be difficult. Until recently, if you wanted to update all of your labels it was a long and manual process of typing them all out, page by page. AutoMark allows you to automatically rename all of your page labels by using bookmarks or a page region (such as the page numbers at the bottom of your sheets). In Revu 12 this feature was further refined by letting you select multiple page regions, as well as setting prefixes and suffixes.

8. Batch Link

Batch Link is only available in Revu eXtreme, and we feel is probably the most compelling reason to invest in that version. As we outlined in our prior blog post, it allows you to automatically batch create hyperlinks using file names, page regions, or page labels. Setting up hyperlinks in your document is tremendously helpful not only for you, but for anyone that ever uses it. It makes navigation much faster and easier, especially if you're working with large document sets.

9. PDF Creation Plugins

All 3 versions of Revu come with direct plugins for the MS Office Suite (Word, Powerpoint, Excel, Outlook, etc) that add PDF creation buttons right into your menu ribbon. Revu CAD and Revu eXtreme also provide plugins for AutoCAD, Navisworks, Solidworks, Revit, and SketchUp Pro. Batch creation of high quality, vector-based PDFs has never been easier!

10. Studio

All versions of Revu come with free access to Bluebeam Studio, their collaboration platform. You have unlimited storage space, can upload any file type, are able to have up to 500 simultaneous users marking up a PDF, and best of all you can even collaborate with users that don't even own Bluebeam. You can simply invite them to join your Session or Project by using their free PDF viewer, Bluebeam Vu. As long as they're working within Studio, that free viewer unlocks the full suite of markup tools to allow the user to fully take part in project collaboration.

All of the above are compelling reasons to make the switch from Adobe Acrobat over to Bluebeam Revu. The fact that Revu costs substantially less than Acrobat is just icing on the cake! Also, since PDFs are an ISO standard file format, you don't have to worry about compatibility issues when moving over to Bluebeam.

Why you should mark up your CAD drawings in Bluebeam instead

Bluebeam Revu CAD and Revu eXtreme both offer direct plugins to AutoCAD, which allow you to easily convert drawings to PDF. However, with the ability to mark up drawings and add notes natively right in AutoCAD, some users may find themselves wondering what the benefits are of doing so. There are several distinct advantages of working in the PDF format using Revu, which we will explain in this post.

Firstly, a big advantage to working in the PDF file format is that anyone will be able to open it; everyone has Adobe Reader on their computer at a bare minimum. You can also open PDFs on your tablet, phone, etc… you do not need high end hardware or familiarity with CAD software to view and interact with the file. You can even create 3D PDFs, which allows you to share 3D models as well. PDFs are an open ISO standard format that everyone can open and most people are familiar with using.

Secondly, Revu comes with free access to Studio, their free cloud collaboration platform. This allows them to upload any file type into the cloud (doesn’t have to be PDFs), with unlimited storage, and share them with anyone they’d like… even if they don’t own Bluebeam! They can simply join using the free PDF viewer, Vu. This is tremendously helpful to centralize your documents and make sure everyone always has access to the most current documents, wherever they are. It also keeps your documents from being locked into a proprietary platform; they are open to whomever you'd like, regardless of software investment.

Lastly, you can create custom markup toolsets in Revu for whatever tasks you are doing, and save them for future use. These toolsets can be exported out to other users or entire teams, so that everyone is standardized and can work more efficiently. Users will get up and running much faster, and will never have to waste time re-creating the same markups over and over.

We hope that we've convinced you of the value in working with PDFs! Bluebeam Revu CAD and eXtreme both make it easy to batch print your CAD drawings to PDF with their built-in plugins.

Bluebeam Revu eXtreme & Batch Link: A Game Changer

We're huge fans of Bluebeam Revu eXtreme, and have always thought that features such as OCR, form creation, redaction, and scripting have justified the additional investment. With the introduction of Batch Link this year, a feature exclusive to Revu eXtreme, the case for upgrading has never been stronger. This feature is a true game changer for anyone looking to automate the process of creating hyperlinks and making their drawing sets more easily navigable. Don't just take our word for it, watch the video below to see it in action (don't worry, we'll wait for you to finish).
Are you impressed yet? We certainly were! Using the Batch Link feature in Bluebeam Revu eXtreme, you can automatically search for terms by:
  1. File Name
  2. Page Region (for example, if your sheet numbers are always in the same page location)
  3. Page Labels (which are easier than ever to set up, thanks to Automark 2.0)
Batch Link is probably the most compelling reason yet to make the upgrade to Bluebeam's most full featured edition, Revu eXtreme.
